How to Manage Udhar (Khata) in a Shop Without Losing Money

Udhar keeps regular customers coming back, and it is also where many small shops quietly lose money: a forgotten entry, a balance nobody reminded, a customer who moved away. A few habits keep the khata honest.

1. Write down every entry, at the time

The khata goes wrong when an entry is made later from memory. Put the bill on the customer’s khata at the counter, while they are there. In QuickBills, choosing Khata when you take payment does it in the same tap as the bill.

2. Give credit to people, not to faces

Keep a name and phone number for every khata customer. It is how you remind them, and how you tell two customers with the same name apart.

3. Decide a limit, and keep to it

Set yourself a rough limit for each customer, such as one or two weeks’ shopping. When a balance passes it, the next purchase is cash until some of it is paid. It is easier to say no to more credit than to collect a large old balance.

4. Remind early and politely

A short, friendly reminder on WhatsApp a few days after the usual payment day works better than a difficult conversation months later. Include the amount and an easy way to pay, such as a UPI link. QuickBills opens your WhatsApp with the reminder and a UPI link ready; you press send.

5. Take part payments

A customer who can pay half today should be able to. Record part payments as they come, in cash or UPI, so the balance is always right.

6. Look at the list every week

Once a week, look at who owes the most and who has not paid for the longest. Those are the two lists that tell you where money is stuck.

7. Returns come off the khata

When goods bought on khata are returned, take them off the balance at once, so the customer is never asked for money they do not owe.
