Stock Management for a Kirana Store: Simple Rules That Work

Most small shops know their stock by eye, and that works until the shop grows past what one person can see. These are habits that keep stock right without counting every shelf every night.

1. Let sales do the counting

If every sale is billed, the software already knows what went out. Stock goes down with each bill and back up with each return put back on the shelf. The count you then do is only to catch what billing cannot see: breakage, theft, items given away.

2. Record purchases when goods come in

Enter what arrived from the supplier, at the price you paid. Stock goes up by the right amount, and you know your real cost, which is what your profit depends on.

3. Set a low-stock level on what matters

You do not need one on every product. Set it on the things customers expect to always find: atta, rice, oil, milk, the soaps and biscuits that sell every day. The level is roughly what you sell between one supplier visit and the next.

4. Reorder by supplier

Instead of a list of everything that is low, group it by who you buy it from, so one message to each supplier covers it. QuickBills Pro does this and writes the WhatsApp message to each supplier.

5. Count a little, often

Count one section each week (all the oil, all the soaps) instead of the whole shop once a year. Correct the stock to what is on the shelf and look at the difference: a big one tells you where to watch.

6. Know your fast and slow movers

A few products make most of your sales. Make sure they never run out. Products that have not sold in months are money sitting on the shelf: stop reordering them, or put them on offer.
